Campaign > Leads

Feature Overview

Leads may be invalidated by processr jobs due to incorrect format in some fields (like company size where expected format is 50 to 100 whereas the imported value is in the format 50 - 100) or other minor errors. Instead of having to send new leads as replacement (as the lead is otherwise valid), Admins, Agency users, call centre agents and publisher users would prefer to edit only those fields, for the affected leads and reprocess them.

For this purpose, we have introduced a ‘Bulk Edit’ option on Campaign > Leads page for Admin, Agency and call centre users. This option is not available on Global Leads as bulk edit across campaigns is not supported. The user can use the bulk edit option at a campaign level to edit undelivered leads within the campaign.

Admin and agency users can perform bulk edit on valid, invalid and caution leads. Please refer this link to see how CSV file can be generated for bulk edit.

Call centre users are allowed to perform bulk edit on caution leads only. Please refer this link to see how call centre users can generate CSV file to perform bulk edit.

For publisher users, ‘Bulk Edit’ option is available only on active campaigns and is available as a pen icon in the ‘Actions’ column as shown below. Publisher users are allowed to bulk edit invalid and caution leads only. Please refer this link to see how call centre users can generate CSV file to perform bulk edit.

The ‘Bulk Edit’ option allows permitted users (admin, agency, publisher, call centre users) to edit one/multiple undelivered leads within the campaign. Using bulk edit, leads can be made valid without having to resend leads to the campaign.

E.g. If the company size of certain leads need to be updated, the ‘Bulk Edit’ option allows the user to update only the company size for individual/multiple leads without having to delete and upload the leads again.

The option to ‘Bulk Edit’ leads is available to users both on 2 settings:

  1. Tech dashboard configuration - Allows bulk edit to be enabled/disabled at an enterprise level and available/not available for agency, publisher users

  2. Campaign configuration- 'Allow Bulk Editing of Data' toggle in the campaign settings that will be available if the tech dashboard setting is configured to allow bulk editing for the enterprise. If ‘Bulk Edit Data’ toggle is enabled on a campaign, ‘Bulk Edit’ button will be available just above the leads listing table for that campaign only.

Bulk Edit of leads involves 3 steps:

  1. Upload

  2. Mapping

  3. Preview

Step 1: Upload

This step involves uploading a CSV files consisting of the leads to bulk edit. Clicking the ‘Bulk Edit’ button opens the ‘Bulk Edit’ modal as shown below. The blue banner provides a link to the Zendesk article that explains how the CSV file may be generated.

The CSV file should contain the change that needs to be applied to the lead, i.e. if the company size on a lead is 1 - 50 and if this needs to be changed to 1 to 50, then, the company size column in the CSV file should contain the data in the format 1 to 50.

The user must select a form (forms associated with the campaign will be available in the dropdown) that can be mapped to the CSV file being uploaded.

The ‘Reprocessing' toggle allows the user to choose to reprocess/ not reprocess the edited leads. If the toggle is enabled, the edited leads will be automatically reprocessed (Please refer Reprocess Leads section). If the toggle is disabled, the leads will not be reprocessed and user can manually reprocess (Flag/Manage > Reprocess leads) leads, if they wish.

The user can then upload the CSV file using the ‘browse files’ option or by dragging and dropping the file into the drop box.

The ‘Next’ button will be enabled only if a CSV file is uploaded and a form is selected.

Step 2: Mapping

On this step, the user must map the form fields to the fields in the CSV file. ‘Form Fields’ are available on the left column and ‘CSV Mapping Field’ are available on the right.

The leads to be edited are uniquely identified by their lead id. Therefore it is imperative that the lead id is available in the CSV file. Bulk Edit will run on a lead only when the lead id in the campaign matches the lead id in the CSV file.

In the mapping step therefore, ‘Lead Id’ is marked as mandatory. This field should ALWAYS be mapped to the column that corresponds to the lead id, in the CSV file. If the lead id field is not mapped correctly, bulk edit will not work.

Next, the user must select the fields that need to be updated for a lead. Only the fields that require to be updated need to be mapped to the form fields. E.g. If only the email address needs to be edited, then only the Lead Id field and email field must be mapped to that in the form fields. If a field should remain unchanged (E.g. firstName), it should be mapped as ‘Do not change’ in the CSV Mapping field dropdown.

In the below example, only the ‘Lead Id’ and ‘Email’ fields are mapped, the remaining fields are mapped as ‘Do not change’. This means, only the Email field will be updated for the selected leads, the rest of the fields will remain unchanged.

If there are 50 leads and the user wants to update the first name for 5 leads and email address for all 50 leads, then within the CSV file to be uploaded, the user must correct the ‘Name’ for the 5 leads and the email address for all 50 leads before uploading.

In the mapping step, lead id, first name and email address must be mapped to the CSV fields, and the rest of the fields must be mapped to ‘Do not change’. By doing so, the name will be updated for the 5 leads that have a changed name in the CSV file. For the remaining 45 leads, the name will remain the same as they have not been changed in the CSV file. The email address will be updated for all 50 leads as they have all been updated in the CSV file.

Clicking on the ‘Next’ button takes the user to the next step - ‘Preview’

Step 3: Preview

The next step is ‘Preview’ where the user is shown a preview of 5 leads that will be updated. A yellow banner also shows the total number of leads that will be edited. If any change is required, the user can go back to the previous steps to upload a different CSV file or map the fields differently.

In the below example, First Name and Last Name columns do not show any value as they have been mapped to ‘Do not change’, hence will remain the same and not be updated. The email column shows the email addresses since the email field has been mapped to the corresponding form field. The user can thus verify if the correct CSV has been uploaded and if they have selected the right mapping.

The ‘Save’ button will be enabled only if the user selects the checkbox to agree to the conditions mentioned.

The user must then confirm their choice by entering the number of leads that will be updated, as shown in the dialog below.

Clicking on ‘Yes’ will initiate bulk edit on the uploaded leads and the user is shown a confirmation message.

Bulk Editing Examples

In the below example, the user selects 5 leads that needs changes to the first name/last name fields.

Next, as CSV file of the invalid leads is exported and changes to the names are made as shown below

The names are updated and leads are reprocessed as can be seen below.

Email sent

When bulk edit is complete, the user receives the below email which describes the changes made to the leads.

It is to be noted that there is no limit to the number of times a user can bulk edit undelivered leads.

Lead View > Notes

At the lead level, the Notes tab within lead view will have an entry (as shown in screenshot below) for a lead that has been edited using the bulk edit feature.
